Coordinator, Test Proctoring and Note Taking Services

Overview

In support of all aspects of the mission of Disability Support Services, of Student Affairs units, and the University, the Coordinator, Test Proctoring and Note Taking Services provides daily coverage to specific administrative functions of the office and general administrative support for all DSS staff within an active, student-centered, customer-oriented office environment.  Responsibilities include:  

  • Provide primary leadership to DSS Test Proctoring Services to ensure that all workflow stages related to delivering test proctoring services are executed in an accurate and timely manner.
  • Provide primary leadership to DSS Note Taking Support Services (GENIO) to ensure that services are utilized to maximize usage and understanding of this assistive technology resource.
  • Provide records management support for the department to ensure that critical information and process workflows regarding submitted Test Proctor and Note Taking Services have been handled in an accurate and timely manner.
  • Develop, maintain, and update functional resource handbooks, manuals, guidelines and website information.
  • Contribute to department project work during Summer.

The projected salary range for this position, which represents the full range of anticipated compensation is: $45,000 to $51,000.

 

Responsibilities

Provide primary leadership to DSS Test Proctoring Services to ensure that all workflow stages related to delivering test proctoring services are executed in an accurate and timely manner.

  1. Serve as the primary DSS staff member who actively works to administer Test Proctoring Services for DSS-registered students.
  2. In collaboration with the DSS Office Operations Manager, review and process test proctor session requests by monitoring and advancing the workflow from submission to the delivery of a test proctor session within the Accommodate system.
  3. Manage any necessary follow-up to students and/or Faculty Instructors on any missing, incomplete, or insufficient information that would prevent a request from advancing.
  4. Assure that information and materials are received, and that the test proctor session is complete.  Coordinate with DSS Manager, Assistive Technology, Accessible Instructional Materials, and any exam materials that need to be converted into accessible formats. 
  5. Maintain a high standard of integrity for each test proctor session; report any suspicious behavior or observations to DSS Leadership.
  6. Provide leadership and training to student Testing Proctors.   
  7. Assure that completed exams are scanned and returned to Faculty Instructors in an accurate and timely manner.
  8. In collaboration with the DSS Office Operations Manager, propose and develop mass communication and resource materials for students and Faculty related to Test Proctoring Services.


Provide primary leadership to DSS Note Taking Support Services (GENIO) to ensure that services are utilized to maximize usage and understanding of this assistive technology resource.

  1. Serve as the primary DSS staff member who actively manages Note Taking Support Services (GENIO) for DSS-registered students
  2. Lead administrative functions to support Audio Note Taking Services, which include:  issuance of software licenses, monitoring non-use of resources, and providing basic guidance about audio note-taking tools and how they work.
  3. In collaboration with the DSS Office Operations Manager, propose and develop mass communication and resource materials for students related to Note Taking Services.
  4.  

Provide records management support for the department to ensure that critical information and process workflows regarding submitted Test Proctor and Note Taking Services have been handled in an accurate and timely manner.

  1. Serve as a primary DSS staff member who actively works with DSS records management systems (e.g., DSS Shared Drive, Accommodate, Cardinal Station, and Cardinal Success student record systems).
  2. Manage follow-up to students and/or Faculty on any missing, incomplete, or insufficient materials that would prevent a service request from advancing.
  3. Assure that student records related to Test Proctor and Note Taking Services are updated to accurately reflect ongoing usage of services.

 

Develop, maintain, and update functional resource handbooks, manuals, guidelines, and website information.

  1. Review and update the functional area website pages; share suggestions for additional information to be included.
  2. Develop and maintain training manuals and resources for student employees and administrative manuals for office functions.

 

Contribute to department project work during the summer months (May-August), to enhance existing services or implement new initiatives for DSS-registered students and department stakeholders.  Perform all other essential duties as assigned.

 

Qualifications

Formal Education and Practice Experience

 

Bachelor's degree with a minimum of one (1) year of post-degree experience working with students at the post-secondary level; experience working with students with disabilities is preferred. Experience working with students in other student affairs, higher education student service areas may also be considered.

 

Technical Qualifications

  • Strong computer skills, including all Microsoft Office (specifically Word, Excel, PowerPoint), Google Workspace, Adobe Acrobat, applications, and database management software (Simplicity Accommodate, PeopleSoft are preferred). 
  • Knowledge of accessibility/assistive technologies and resources is preferred.

  Other Knowledge, Skills, and Abilities Needed

  • Knowledge or willingness to learn about the Americans with Disabilities Act (ADA); Section 504 of the Rehabilitation Act of 1973; the Family Educational Rights and Privacy Act (FERPA), and other appropriate laws pertaining to higher education and students with disabilities.
  • Strong service orientation and ability to interact and relate effectively with a diverse population of students and employees at all levels of an organization.
  • Ability to work collegially and collaboratively to develop effective student-oriented services. Strong oral, written, and interpersonal communication skills. 
  • Proven “hands-on” and energetic team member. 
  • Position responsibilities are most demanding during the academic year (August-May) and with peak demands during midterms (October and March) and final exams (December and May).  Overtime hours are possible at different times of the year and expected during peak demands.  
  • High degree of initiative and ability to work with guidance and supervision. Demonstrate ability to be productive, deliver high-quality work, use good judgment, and solve problems. Good collaborative, problem-solving, planning, and organizational skills.
  • Strong ability to handle multiple tasks simultaneously and handle heavy workloads under pressure and within deadlines. 
  • Ability to produce quality results with limited resources.
  • Ability to perform work thoroughly, accurately, and in a timely manner.
  • Strong written and oral communication skills, including excellent grammar, punctuation, and spelling skills.
