Academic Coordinator

Overview

Provide high quality administrative support for the office, its faculty, staff, and contacts. Perform services to support an active, student-oriented campus environment. Handles social media and communications.

 

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: $50,000 - $55,000.

Responsibilities

  • Administrative Operations: Manage and respond to all office communications (email, phone, in-person), purchase office supplies, and maintain equipment.

  • Academic Support: Assist with course scheduling, student enrollment/registration, catalog maintenance, and the preparation of class materials.

  • Budget & Finance: Monitor expenditures against the organizational budget, resolve discrepancies, run monthly reports, and manage purchase cards and faculty reimbursement requests.

     

  • Student Services: Update student advisors in Cardinal Station, review student records for graduation/honors eligibility, and maintain student and alumni records.

     

  • Communications & Marketing: Maintain departmental websites and social media, coordinate departmental news with Marketing and Communications, and assist with newsletters.

     

  • Event Planning: Organize and advertise seminars, lectures, workshops, and parties; handle travel arrangements and hotel reservations for invited speakers.

     

  • Recruitment: Assist in recruiting undergraduate and graduate students by working with the Office of Admissions to track prospective majors and prepare promotional materials.

     

  • Supervision: Recruit and supervise student employees, including scheduling, task tracking, and submitting payroll records.

     

  • Departmental Support: Take minutes at meetings, assist the Chair with agendas, coordinate placement and comprehensive exams, and manage departmental spaces/facilities requests.

 

Qualifications

  • Education or Experience: A Bachelor's Degree is preferred or 2 years of administrative experience.
  • Technical Proficiency: Skilled in Microsoft Word, Excel, PowerPoint, and the Google Suite.
    • Experience with PeopleSoft and iCIMS.
    • Proficiency in operating multi-line telephones, faxes, and copiers.
  • Communication Skills: Demonstrated service-oriented attitude with excellent written and oral communication skills.
  • Mission Alignment: Must be supportive of the mission and vision of The Catholic University of America.
