Administrative Assistant III

Overview

Provide general administrative support to the Dean’s Office. Provide administrative assistance in communications, marketing, social media, and managing School events. General front office coordination of supplies, customer service, and tasks assigned by the Dean’s Office. Administrative support such as filing, data management, and other duties assigned.

 

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: $60,000-65,000

Responsibilities

  • Provide general administrative and clerical support to the Dean of the School of Architecture. This includes note-taking and preparing an agenda for School meetings.
  • Distribute mail, prepare outgoing mail, and, together with other Front Office staff, provide desk coverage for the School’s Main Office.
  • Interact with the public, including students, faculty, staff, University Administrators, and guests of the School.
  • Answer telephones/voicemails and handle in-person inquiries; provide front-line information 
  • Manage the School Calendar, including the event list on The Nest and 25Live
  • Keep an inventory of office supplies and prepare purchase requests for the School.
  • Maintain School files, which include, but are not limited to, physical files, Google Drive database management, and Cardinal Students management.
  • Support School events (such as lectures or Commencement). Set up, breakdown, catering, AV, and hospitality logistics.
  • Support the management and updates to the School's social media and website.
  • Support Associate Deans and student ambassadors in offering building tours to prospective students.
  • Other duties as assigned.

Qualifications

  • Bachelor's Degree
  • Two (2) or more years of directly related experience preferred.
  • Working knowledge of Google Suite.  Familiarity with Microsoft Office.

  • Proficiency in Excel preferred.

  • Direct experience creating blog posts, email and social media campaigns.

  • Experience with Cascade, Drupal or other complex content management systems.

  • Solid working knowledge of digital analytics tools for websites (Google Analytics preferred), email, and social media.

  • Proficient with Microsoft Excel and Adobe Photoshop.

  • Photography, videography, and graphic design proficiencies preferred, but not required.

  • Exceptional collaborative skills.

  • Excellent interpersonal and organizational skills.

  • Ability to handle multiple tasks effectively with good problem solving skills.

  • Detail-oriented with strong written and oral communication skills.

  • Excellent editing and proofreading skills a must. Ability to maintain confidentiality.
