Assistant Director of Operations

Overview

Directs and oversees operational aspects of the university’s information technology infrastructure. Monitors accessibility of applications or services. Leads implementation and maintenance of enterprise-wide system tools and ensures scalability. Implements and maintains formal operating procedures to mitigate risk.

 

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is up to $116,000.

Responsibilities

  1. Analyze complex business needs presented by the user community and/or clients, and recommend technical solutions for purchase. Activities include:
    • Identify opportunities to improve information technology infrastructure and utilize emerging technologies to satisfy university business needs.
    • Work with stakeholders and relevant university offices to investigate technology solutions and select architectures that best meet the specified business needs.
    • Determine the gaps between the current and the target architecture and develop plans for transitioning to target architecture.
    • Perform the planning and business processes necessary to obtain project approval for implementation.
  2. Operate technology infrastructure to support the University academic and administrative functions. Activities include:
    • Define, document and maintain information technology infrastructure adequate to meet the university’s needs.
    • Provide technical guidance, support, and coordination for infrastructure technologies to IT project teams and other designated university offices and groups; understand and be able to communicate both the capabilities and limitations of the technologies.
  3. Carry out the full range of project management functions for implementation of new or enhanced infrastructure technologies. Activities include:
    • Plan and schedule the installation of new or modified technology infrastructure hardware and software.
    • Assist in defining project scope, requirements, and deliverables and develop project plans to meet objectives.
    • Coordinate project activities, ensuring that projects remain on schedule and that work accomplished meets specifications.
    • Manage project resources, including any third party contractors or service providers.
    • Take corrective actions when problems arise.
    • Effectively communicate relevant project information to the supervisor, and to stakeholders.
    • Ensure appropriate documentation including inventory, configuration settings and operational procedures is written and maintained.
  4. Assist in defining and executing the total breadth of activity required to ensure the continuous availability of the university’s network, communications and server infrastructure. Work involves managing a wide range of tasks in support of technology infrastructure operations. Activities include:
    ● Develop, document and implement operational procedures, and ensure that established operational procedures are followed and that problems are quickly resolved.
    ● Manage the installation and integration of technology fixes, updates, and enhancements, including use of change management processes and procedures.
    ● Ensure the rigorous application of information security/information assurance policies, principles, and practices in the delivery of technology solutions.
    ● Responsible for maintaining high system availability, functionality, integrity, and efficiency through vigilant monitoring of technology health, security, and performance. Take decisive action to avert any impact on end users.
  5. Help develop, implement and regularly test disaster recovery provisions. Activities include:
    ● Design and document appropriate and cost-justifiable risk reduction measures and disaster recovery plans and procedures to meet agreed business continuity targets.
    ● Ensure that mission critical information is backed up on a scheduled basis and is stored in a secure location outside of the data center facility.
    ● Maintain a state of readiness by ensuring IT staff assigned to disaster recovery clearly understand their roles and that all necessary information is instantly accessible in a crisis.
    ● Ensure that all preventive measures and recovery mechanisms for the case of disaster events are subject to regular testing.
  6. Assist in managing staff. Ensure implementation of the goals and objectives of the Operations group through effective management of employees. Activities include:
    • Ensure that work to be accomplished by subordinates is planned, that goals are established and priorities are set and adjusted as needed, and that schedules for completion of work are developed.
    • Oversee work of subordinate employees.
    • Encourage and facilitate cooperation within the organization and with client groups.
    • Give advice, counsel, or instruction to employees on both work and administrative matters.
    • Interview candidates for positions and recommend appointment, promotion, or reassignment to such positions.
    • Assist in evaluating job performance of Operation’s employees at regular intervals specified by HR and Department.

Qualifications

A. Education:

  • Required: Bachelor’s Degree.

B. Experience:

  • 5 years in IT infrastructure.

  • Experience managing major tech implementation projects in large, multi-user environments.

  • 3 years in a supervisory role.

C. Technical Skills & Certifications:

  • Broad knowledge of IT principles, information security, networking, virtualization, storage systems, backup, scripting, and project management.

  • Desirable experience with:

    • Cisco/Meraki networking equipment

    • Dell servers, VMware or Hyper-V virtualization

    • NetApp storage, AWS/Azure cloud, Google Apps/Office 365

    • Windows Server 2022+, Linux (especially RHEL), scripting (e.g., PowerShell)

  • Preferred certifications:

    • Microsoft MCSE

    • Cisco CCNP/CCIE

    • VMware VCAP/VCDX

    • PMP (Project Management)

    • ITIL (Service Management)

D. Additional Skills:

  • Strong decision-making, business acumen, planning, strategic thinking, analytics, leadership, communication, and up-to-date tech awareness.
