Budget & Operations Assistant

Overview

The Budget and Operations Assistant reports to the Associate Director of Campus Ministry and oversees the Office of Campus Ministry’s financial operations. In collaboration with the University Chaplain & Director of Campus Ministry and the Associate Director, the Budget and Operations Assistant helps create, implement, and maintain the annual Campus Ministry operating budget. The individual in this position will assist with the development of training materials, compilation of budget requests and historical financial records, and processing of purchases and funding requests. In addition, the individual in this position will assist with scheduling and responding to routine requests for information on financial and administrative matters. Manages special projects related to budgeting and financial management as needed.

 

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: Up to $57,500. 

Responsibilities

  • In collaboration with the Director and Associate Director of Campus Ministry plan, oversee, and prepare the annual budget.
  • Work with Campus Ministry staff, especially the Chaplains, Campus Ministers, and Project Coordinators, to develop area-specific project-based budgets.
  • Execute all Campus Ministry contracts and payment requests, following Procurement Office processes and procedures.
  • In collaboration with the Director and Associate Director of Campus Ministry, maintain financial controls and implement University-wide finance policies and procedures within the Office of Campus Ministry.
  • Manage the Office of Campus Ministry deposits and expense transactions, maintaining documentation for all financial systems, including but not limited to, receipts, disbursements, billing, bookkeeping, budgeting, accounting, and accounts payable.
  • Ensures the timely processing and monitoring of requisitions, purchase orders, credit card purchases, travel expense reports, and other expenditures.
  • Monitor Campus Ministry financial statements and reports, and serve as liaison to the University Division of Finance.

Qualifications

A Bachelor's Degree and zero to two (0-2) years of financial management experience. Experience in Financial database systems including but not limited to, Oracle PeopleSoft. Ability to maintain confidentiality is essential. High proficiency experience with database management programs. Knowledge of PeopleSoft systems. Proficiency in MS Office Suite, Google Suite, and Adobe.
