Coordinator, Internships/Student Employment

Overview

The Center for Academic and Career Success assists students in exploring and identifying academic, career and graduate school interests and the creation of plans by which to achieve them. In the process, staff will assist students by helping them create a personalized action plan, introduce pertinent resources, and present extracurricular, internship and networking opportunities that will help students identify and achieve their personal, career and future educational goals. This role will oversee the Workforce Recruitment Program. 

 

In this role, the incumbent will manage and develop an efficient and high-quality process to market and support students, faculty, and staff by promoting on-campus student employment through work-study/non-work-study, tracking for-credit internship opportunities and other experiential opportunities, including but not limited to, independent research and the Workforce Recruitment Program. Assists the Associate Director of Employer Relations in maintaining the federal work study job postings and for-credit-internship agreement forms. Creates and presents instructional programming/presentations necessary to educate students, faculty and staff on program protocols and regulations as well as promote the various opportunities. Programs and services are to reflect the institutional mission, values, vision, and strategic direction to support student recruitment, retention, and successful graduation; be responsive to the student population, and be accomplished with attention to high standards, quality, collaboration, and fiscal soundness. 

 

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: Up to $50,000

Responsibilities

Manage the Federal Work-Study program and promote on-campus non-work-study opportunities, while maintaining communication with all key constituents (including Financial Aid, HR, and Payroll offices) and adhering to all federal, state, and university guidelines.

a. Effectively and routinely solicit and track all on-campus work-study and non-work-study opportunities from all CUA departments and market these opportunities to the student population.
b. Train student employees and supervisors in the use of the student employment system, ensuring that all supervisors and employees have received the proper training (including FERPA and harassment training). Ensure that all documentation has been properly filled out and filed with the appropriate division in a timely manner.
c. Organize and implement annual Campus Employment Fair(s)
d. Regularly evaluate the effectiveness of the CWS and non-CWS on-campus programs and solicit feedback from both students and supervisors in order to identify any existing or potential issues, and make adjustments to the program accordingly.
e. Oversee the acceptance and allocation of financial aid funds to various university departments. Periodically assess departmental spending and reallocate monies between departments accordingly.
f. Oversee the nomination/selection process of the undergraduate and graduate student employee of the year.

 

Oversee the collection and proper storage in the 12Twenty system of all for-credit-internship agreement documentation throughout the Fall, Spring and Summer, while maintaining good working relationships with communication with General Council, Enrolment Services, and participating faculty and students.
a. Coordinate with General Council to ensure that the for-credit-internship agreement form is in order for each academic year and make updates/changes as required
b. Create and present faculty trainings on how to comply with the General Councils requirements on completing and submitting for-credit-internship agreement forms in a timely manner using the 12Twenty system
c. Work with Enrollment Services to identify Fall Spring and Summer Session for-credit internship courses, professors and participating students, while also tracking data on other types of experiential opportunities including, but not limited to independent research, field placements, and clinicals
d. Create and maintain data reports on all Fall, Spring and Summer opportunities and participants

 

Provide employer relations support services including but not limited to:
a. Research and approve employers and job/internship positions.
b. Post and advertise job/internship positions and events such as career fairs, information sessions, and on-campus recruiting to students and alumni.
c. Assist in maintaining the daily operations/communications of the front desk
d. Assist in university programming/events as needed or assigned

Qualifications

A Bachelor's Degree is required.  Preferred - 1 or more year’s program management/coordination experience in a college environment. Possess an understanding of the Federal Workstudy program (FWS) and process. Experience working in a career services office assisting students with employment issues.

Strong service orientation required. Strong written and oral communication skills required, including ability to train others in small and large groups. Strong event planning skills. Ability to learn and apply ethical and legal standards pertaining to student records and student employment required. Effective problem-solving skills required. Ability to bring together different offices and develop consensus on policies, procedures and plans helpful. Must be detail oriented.

 

High degree of proficiency in Microsoft Office Suite, especially Word, Excel and Access. Ability to learn new programs including the campus recruiting system.

h. Knowledge and skills with automated computer systems, new technologies, records management, database systems to support service and operational needs; skill with use of university systems within three months of appointment.
