Office Finance Manager

Overview

In support of all aspects of the mission of the department, division, and University, the Office Finance Manager is responsible for the day-to-day management of the Office of Campus Activities. They are also responsible for the oversight of all of our student staff hiring and human resources functions along with our student organization financial management processes.

 

As a student affairs professional, the Office Finance Manager serves as a resource for staff and students; supports and promotes the mission and vision of Catholic University; and contributes positively to the Catholic University community of research, teaching, learning and service to the Church, the nation and the world.

 

This position reports to the Director of Campus Activities and works collaboratively with the staff in the Office of Campus Activities on matters related to student organization financials and office management. This position supervises student staff.

 

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is: $55,000. 

Responsibilities

Office Management                                                                                                        

  • Oversee office operations, including but not limited to: maintenance and facilities requests, mailing, shipping, supplies, equipment, and errands
  • Supervise student staff who receive visitors to the office maintaining a friendly and welcome office space
  • Supervise student staff who oversee the student organization event and flyer approval and printing process, distribution of purchasing cards, and receipt of student organization deposits.
  • Communicate regularly with Human Resources to maintain office policies as necessary
  • Manage the OCA email account, disseminating correspondence to correct OCA staff members

Student Organization Financial Management                                                     

  • Supervise the Student Organization Services team of student staff who do all initial processing of student organization financial purchase requests, cashbox requests, deposits, etc..
  • Manage all student organization deposits and expense transactions, maintaining documentation for all financial systems, including but limited to, receipts, disbursements, billing, bookkeeping, budgeting, accounting, and accounts payable
  •  Ensure the timely processing and monitoring of requisitions, purchase orders, credit card purchases, travel reimbursements, and other expenditures

Manage the calendar and appointments of Associate Vice President for Student Engagement   

University and Division Service                                                                                    

    • Become engaged with appropriate and effective professional organizations. Actively seek opportunities to receive regional and national recognition for departmental innovations and initiatives.
    • Provide programmatic, volunteer, and administrative support for campus wide programs as requested (such as, but not limited to, New Student Orientation, Homecoming, Family Weekend and Commencement).
    • Contribute to the overall success of the Office of Campus Activities, the Division of Student Affairs and the University by performing all other essential duties as assigned.

Qualifications

  • A Bachelor’s Degree.
  • Experience in campus activities specifically with student organizations and financial management is strongly preferred. 
  • Must be self-motivated, well organized, and have strong oral and written communication skills and analytical abilities. 
  • Ability to translate a mission and vision into successful programs and services. Ability to plan, organizes, set priorities, implement and evaluate programs and services.
  • Strong service orientation and ability to relate effectively with diverse individuals and groups at all levels of an organization.
  • Ability to work collegially and collaboratively to develop effective student-oriented services.
  • Ability to communicate effectively and by using a wide variety of tools and mediums.
  • Proven “hands on” and energetic team leader. Must be able to generate the confidence and trust of individuals and the extended campus community.
  • Demonstrated ability to be productive, deliver high quality work, take initiative, use good judgment and solve problems.
  • Strong ability to handle multiple tasks simultaneously, and handle heavy workloads under pressure and within deadlines.
  • Ability to produce quality results with limited resources.
  • Knowledge and skills with automated computer systems, new technologies, records management, database systems to support service and operational needs; skill with use of university systems within three months of appointment.
